Manage Report Ineligible Participants | 360

When the survey period closes, reports are generated for participants for whom all reporting requirements have been met - namely, that raters were nominated, the minimum required number of raters completed assessments, and the participant completed the self-assessment when required by the event settings. 


Participants who are not eligible for a report appear on the Complete - Report Ineligible tab of the Participants page. You can search and filter the list of participants and take actions related to report eligibility status.


This article walks through:


Complete - Report Ineligible Tab Overview

The Complete - Report Ineligible tab displays information about participants who are not eligible to receive a report, including the ineligibility reason. Depending on the ineligibility reason, you can take actions to help the participant become report eligible (i.e., extend the rater nomination deadline or the survey end date).



The tab contains 5 components:

  • Table: Columns display the participant name, survey start date, survey end date, and an ineligibility reason - either Inactive Rater Nomination or Feedback Requirement. You can sort the columns using the up and down arrows.

  • Filters: Filter the table by any of its column headers.

  • Search: Search for a participant by name.

  • Actions: 

    • Extend Nomination Deadline

    • Extend Survey End Date

    • Resend Report Ineligible Email

  • Bulk Actions: Select multiple participants or all participants and apply actions to them simultaneously.


Apply a Filter


  1. Navigate to the Participants phase.

From the Event Builder:

  1. Click Participants in the left panel.

From Listen:

  1. In the Active Events section or the All Events section, click Manage Event for the event you want to work with.

The Event Builder opens.

  1. In the left panel, click Participants.

The Participants page appears, displaying the Pending Participant Invite tab.

  1. Click the Complete - Report Ineligible tab.

  2. Click Filters, then click +Add Filters.

The Add Filters dialog box appears.



  1. Select the checkbox for the header you want to use as a filter and then click Add Filters.

A filter dropdown appears for the selected header, above the table.

  1. Specify a filter value:

    1. If filtering by the survey start or end date, click the dropdown for the filter, click the Select a Range of Dates box, and then use the calendar popup to specify a date range for the filter.



  1. Click Apply.

The filter is applied.

  1. If filtering by Ineligibility Reason, click the dropdown for the filter, select the checkbox for the reason you want to filter by or turn on the Select All toggle, and then click Apply.



  1. To clear an applied filter, click + Add Filter, clear the checkbox for the currently applied filter, and then close the dialog box.


Search for a Participant

You can search for a participant by first or last name or email address. The dynamic search feature displays search matches as you type.


  1. Navigate to the Participants phase.

From the Event Builder:

  1. Click Participants in the left panel.

From Listen:

  1. In the Active Events section or the All Events section, click Manage Event for the event you want to work with.

The Event Builder opens.

  1. In the left panel, click Participants.

The Participants page appears, displaying the Pending Participant Invite tab.

  1. Click the Complete - Report Ineligible tab.

  2. Click the Search box and type the participant name.

The participant list adjusts to display only those that match your search criteria.

  1. To clear a search, click the X icon in the Search box.


Apply Actions to a Participant

When a participant is report ineligible you can apply the following actions:


  • Extend Nomination Deadline (only if Ineligibility Reason is Inactive Rater Nomination)

  • Extend Survey End Date (only if Ineligibility Reason is Feedback Requirement)

  • Resend Report Ineligible Email


Extend Nomination Deadline

If the participant is ineligible due to inactive rater nomination, you can extend the nomination deadline to give the participant more time to select raters.


  1. Navigate to the Participants phase.

From the Event Builder:

  1. Click Participants in the left panel.

From Listen:

  1. In the Active Events section or the All Events section, click Manage Event for the event you want to work with.

The Event Builder opens.

  1. In the left panel, click Participants.

The Participants page appears, displaying the Pending Participant Invite tab.

  1. Click the Complete - Report Ineligible tab.

  2. Click Actions for the participant you want to work with, then select Extend Nomination Deadline.

The Extend Nomination Deadline dialog box appears.



  1. Click the Nomination Deadline box to display a popup calendar, then select a new date for the deadline.

  2. Click Save New Date.

The date is updated and the participant is moved to the Nomination Period tab.



Extend Survey End Date

If the participant is ineligible due to the feedback requirement, you can extend the survey end date so there is more time for feedback requirements to be met.


  1. Navigate to the Participants phase.

From the Event Builder:

  1. Click Participants in the left panel.

From Listen:

  1. In the Active Events section or the All Events section, click Manage Event for the event you want to work with.

The Event Builder opens.

  1. In the left panel, click Participants.

The Participants page appears, displaying the Pending Participant Invite tab.

  1. Click the Complete - Report Ineligible tab.

  2. Click Actions for the participant you want to work with, then select Extend Survey End Date.

The Extend Survey End Date dialog box appears.



  1. Click the Survey End Date box to display a popup calendar, then select a new date for the survey to end.


Note: If the original end date was set to Dynamic, selecting a date will disable the setting and the survey will end on the date you specify.


  1. Click Save New Date.

The date is updated and the participant moves to the Survey Period tab.



Resend Report Ineligible Email

You can resend a participant their email indicating they are not eligible for a report.


  1. Navigate to the Participants phase.

From the Event Builder:

  1. Click Participants in the left panel.

From Listen:

  1. In the Active Events section or the All Events section, click Manage Event for the event you want to work with.

The Event Builder opens.

  1. In the left panel, click Participants.

The Participants page appears, displaying the Pending Participant Invite tab.

  1. Click the Complete - Report Ineligible tab.

  2. Click Actions for the participant you want to work with, then select Resend Report Ineligible Email.

A confirmation message appears.



  1. Click the Resend Email.

The email is resent.


Apply Bulk Actions to Participants

Any of the actions you can apply to an individual participant can be applied to multiple participants simultaneously if they are ineligible for the same reason. The Resend Report Ineligible email action can be applied in bulk regardless of ineligibility reason. Simply select the checkbox for each participant you want to apply an action to or click the checkbox at the top of the table to select all the participants. Then click Bulk Actions (top right) and select an action.
