After an event is active, there are several things you can manage and modify to keep the event process running smoothly. These tasks vary depending on the type of event. 


This article walks through the high level of the following and links out to the step-by-step of each:


Manage an Active Point-In-Time or Lifecycle Event

When your event is in Active status many features are locked down; however, there are several things you can do to manage your event. For example, you can make limited changes (edit existing question text, logos, and colors), duplicate your event, or revert to draft (typically used to test the event prior to launch and then clear the responses). You can also:

 


Support Participants

When it comes to participants, things can change while your event is active. A new hire may need to access the event or someone included in your data file may leave the company or change their name or email address. Sometimes people take the event and want to change their responses, requiring you to reopen the event for them.

Add & Manage Users

As the need arises, you can add new Creator or Reporting users to an event, edit the information for existing users, and manage users. User management includes editing user details, cloning users, deleting users, and sending invites to individual users to access the platform.

Configure Trend

You can configure trend to see results for each question and category in your current event, as well as past events where matching questions were asked. Configuring trend for an event makes the Trend Report available in your Results dashboard. You can select one or more trend sources as available. Each trend source is included as a comparison column within the Trend Report.

Close the Event

For a point-in-time event you typically set a limit for how long the event is available to participants. When you close your event, invitees can no longer access it. You can schedule a close date so your event closes automatically or you can close it manually. You can also reopen a closed event, if necessary.

Manage an Active 360 Event

When your event is in Active status you can manage participants as they progress through each event period.



Manage Participants Pending an Invite

During the period before a participant receives an invite to the event, you can edit the participant invite date, edit their nomination deadline, edit the survey end date, or delete the participant. To learn more, see the Manage Participants Pending an Invite | 360 article.



Manage Participants During the Nomination Period

During the timeframe set for a participant to submit their nomination form (the nomination period), you can edit the nomination deadline, add/edit raters, resend the participant invite, edit the survey end date, or delete the participant. Manage Participants During the Survey Period

During the timeframe that the raters complete their assessments and the participant completes the self-assessment, if required (the survey period), you can add/edit raters, edit the survey end date, resend the self survey invite, resend the rater survey invite, or delete the participant. Manage Report Eligible Participants

If the required number of assessments are completed and the participant completes the self-assessment (if required), the participant is eligible to receive a report. If a participant becomes report eligible before the event close date, you can resend the report eligible email, if necessary, or edit the report release delay (shorten or lengthen the wait period between event closure and report availability). Manage Report Ineligible Participants

If the required number of assessments are not completed or the participant does not submit a nomination form or complete the self-assessment (if required), the participant is not eligible to receive a report. If a participant becomes report ineligible before the event close date, you can extend the nomination deadline (if the ineligibility reason is Inactive Rater Nomination), extend the survey end date (if ineligibility reason is Feedback Requirement), or resend the report ineligible email. Manage an Active Crowdsource Event

When your event is in Active status you can moderate the pulse, share the event, send reminders, and manage users.



Moderate the Pulse

Moderation entails rejecting answers that contain profanities or proper names from the employee data file and enabling participants to flag an answer they believe is inappropriate so it can be reviewed by a moderator and deleted as needed. Share the Event

You can invite participants to the event via email, a generic link, or a widget. For more information, see the Share Your Event | Crowdsource article.



Send Reminders

In addition to optional automated reminders that are sent out at the midpoint of the event time frame and 24 hours prior to event close, you can manually send reminders to all participants or only those who have not yet participated in the event.
