In addition to presenting overall pulse results, Crowdsource results allow you to analyze data using demographic groupings. Employee tags, such as "department" or "location," can be any category from your HRIS system. Slicing results by tags provides deeper organizational insights and supports taking action.


Crowdsource participants have full visibility into how their responses will be reported in aggregate and can check their assigned groups during a listening event. Therefore, employee tags must be predetermined and set up before the event launch.



This article walks through:


Determining Employee Tags

Perceptyx recommends choosing employee tags based on how you plan to take action. Commonly used tags include department and location; however, you should select tags that will provide the best insights into your organization’s results.


We suggest including no more than five employee tags to help your organization focus on action rather than analysis. Additionally, using too many tags may affect participants' perception of anonymity.


Note: Results are presented only if the anonymity threshold is met. Ensure each tag value (e.g., Product, Sales) within an employee tag (e.g., Department) has at least twice the number of employees as the threshold to avoid groups being too small for meaningful results.



Collecting Employee Tag Information

Employee tag information can either be pre-loaded into the platform or set up so participants can self-select from a dropdown list.

  • Upload employee tag information: 

Prior to a Crowdsource event, an employee file is uploaded. When participants sign in, employee tag information is automatically attributed based on email address or unique ID.

  • Create self-select dropdown: 

Participants must select from a dropdown list before proceeding.


You can use the following decision chart to determine the best approach to capturing employee tag information for your organization:


Setting up Employee Tags

Once you have decided on the approach and employee tags to use, prepare a data file and send it to dialoguesupport@perceptyx.com at least 5 business days prior to the launch of your Crowdsource event. Following are guidelines for preparing your file.  


Pre-Load Employee Tag Information

If you have decided to upload employee tag information, use the following guidelines to prepare an employee file. See also the Crowdsource Sample Employee File Template attached to this article.


  • Include the following fields (* = required field): 

    • Email

    • Unique ID*

      • This is usually the Employee ID.

      • This should be a static value that does not change for the employee. 

      • Even if the ID is numeric, it should be formatted as a Text field. This will preserve any leading “0”s.

    • First Name

    • Last Name

    • Employee Tag Label 1

    • Employee Tag Label 2

    • Employee Tag Label 3

    • Manager Email

    • Manager Unique ID*

    • Manager First Name

    • Manager Last Name


  • The first row of your data file is your column headers. This is followed by one row of data per employee. 


  • Provide your data in a single Comma Separated Values (CSV) text file or Excel file. The file should not contain any linkages to other source files. 


  • Complete the following data checks: 

    • No duplicate email addresses or unique IDs

    • Email addresses are well formed (e.g., no spaces)

    • No data is missing from any columns 

    • Check demographic values for “duplicates” and normalize (e.g., San Francisco vs. SAN FRANCISCO vs. SF)



Create Self-Selection Dropdown

If you have decided to use the self-select drop-down option, use the following guidelines to prepare an employee file. 


  • Prepare a list of employee tags and associated tag values.

  • Indicate the order in which you want the tag values to appear. 

  • Complete the following data checks: 

    • No duplicate demographic values

    • Check demographic values for “duplicates” and normalize (e.g., San Francisco vs. SAN FRANCISCO vs. SF)



Managing Employee Tags

You can make changes to the employee tags for an event as long as there are no responses yet. Once you launch the event and someone provides a response, you cannot update employee tag settings.


  1. Navigate to the Summary phase for the event you want to work with.

From within the Event Builder:

  1. Click Summary in the left panel.

From Listen:

  1. In the Active Events section or the All Events section, click Manage Event for the event you want to work with.

The Event Builder opens.

  1. If necessary, click Summary in the left panel.

        2. Click the Edit icon for the Results phase.

The Results options appear, including the employee tags.



  1. Hover your mouse over the Employee Tags area until the Edit icon appears, then click the Edit icon.

The Select Employee Tags dialog box appears.



  1. Select or deselect the checkbox for any tag you want to add or remove, respectively, then click Save.

  2. Click Save & Exit (top right).
