The User Management function enables you to add Admin, Creator, and Reporting users to the platform and give them access to specific listening events. This function differs from the Add/Edit feature under Event Options in the Event Builder, which event admins can use to add Creator and Reporting users to a specific listening event and determine which demographics they can access for reporting.


This article walks through:



Access the User Management Screen

The User Management screen displays a table with user records for Admin, Creator, and Reporting users who have been added to the platform. Record information includes the following details:


  • Username

  • First Name

  • Last Name

  • Email Address

  • Employee ID

  • Role (admin, creator, or reporting)

  • Active (whether the user is active or inactive)

  • Status (preparing, available, or invited)

  • Last Password Change

  • Last Email Sent

  • Actions (edit, clone, delete, or send invite, if applicable)




You can search for specific users, filter user records, add new users, upload or export users, and edit, clone, or delete users. For active users, you can also send an invitation to the platform.


  1. Log in to the Perceptyx Platform.

  2. In the navigation bar, click the Gear icon.

The Admin Portal dashboard appears.

  1. In the Platform Settings section of the left panel, click Listening Events.

  2. Click the Point in Time and Lifecycle tab, if necessary.

  3. Click Go to User Management.

The User Management screen appears.



Search for Users and Filter User Records

The search and filter options make it easy to find individual users or display only active or inactive users.



Search for Specific Users

You can search for specific users by username, first or last name, email address, or employee ID. As you type your search criteria in the Search By box, the table updates dynamically to show matching user records.


  1. Navigate to the User Management screen.

  2. Click the Search By box, then type your search criteria.

The table updates to display records that match your search criteria.


Note: To clear a search, click the x icon next to your search criteria.



Filter User Records

You can filter the table by active or inactive users.


  1. Navigate to the User Management screen.

  2. Display the Filter By dropdown, then select Active or Inactive.

The table updates to display records that match your filter selection.



Add New Users

You can add new Admin, Creator, and Reporting users to the platform as needed and give them access to specific listening events.


  1. Navigate to the User Management screen.

  2. Click + Add New User (top right).

The Add New User dialog box appears.



  1. Type the username, first name, last name, email address, and employee ID for the new user in the corresponding text boxes.

  2. Specify the type of user:

Admin:

  1. Display the Role dropdown, then select Admin - Administrative Privileges.

Creator:

  1. Display the Role dropdown, then select Creator - Survey Creation Only.

The role is selected and an Approval dropdown appears. You can use this dropdown to specify that approval is required for any listening events the user creates. The selection is set to None by default.

  1. If approval is required for new events the user creates, display the Approval dropdown, then select Required. If approval is not required, leave the selection as None

Reporting:

  1. Display the Role dropdown, then select Reporting - Access to Reporting Only.

  1. Ensure the Enable Account checkbox is selected to ensure the user is active and has access to the platform.

  2. Click Save.

The new user record is added and the dialog box closes. 


To give the user access to listening events:

  1. Find the new user by clicking the Search By box and typing their user name, first or last name, email address, or employee ID, and then clicking Search.



  1. Click the Actions option in the user record (you may need to scroll to the right), then select Edit

The Edit User dialog box appears.



  1. Click Application Access.

The Application Access tab appears.



You use this tab to give the user access to specific listening events.

  1. Turn on the Access toggle for each event for which you want to give the user access.

  2. Click Save.



Export Users

If needed, you can easily export all user records to a .xlsx file.


  1. Navigate to the User Management screen.

  2. Click Export Users (top right).

The user data is exported to a .xlsx file in your default download location.



Clone a User

If an existing user is already set up with application access you want to give to a new user, you can clone the user to save time setting up the new user. When you clone a user, the application access options are replicated. All you need to do is enter the personal data for the new user. You can also provide access to additional applications if necessary.


  1. Navigate to the User Management screen.

  2. Find the user you want to clone, click the Action option for the user record, then click Clone.

The Clone User dialog box appears, displaying the user’s information.



  1. Update the fields in the Personal Data tab as needed, then click Save.



Delete a User

When necessary, you can delete a user.


  1. Navigate to the User Management screen.

  2. Find the user you want to delete, click the Actions option for the user record, then click Delete.

A confirmation message appears.

  1. Click Confirm.

The user is deleted.



Send an Invite

After you add a user, you can send them an invite to the platform. When you send an invite, the user receives an email with a link to log in to the platform. 



After clicking the link, they enter their email and then set up their password.


  1. Navigate to the User Management screen.

  2. Find the user you want to invite, click the Actions option for the user record, then click Send Invite.

A confirmation message appears.

  1. Click Confirm.

The invite is sent to the user and their status updates to Invited.
