Invitation and Reminder Emails

Once a listening event begins, there are three types of emails participants may receive:


  • An invitation to participate in the listening event

  • One or more reminders to complete the listening event

  • An invitation to view results


Your company’s platform configuration and your user role (e.g., manager, HR, individual contributor) determine which emails you receive. 


This article walks through:

 

Invitation to Participate Emails

While there are several ways to access a new listening event (e.g., a dynamic alert or Respond prompt in the platform or a link or widget on a company intranet), nearly all events are designed to send invitation emails to participants. Invitation emails typically include the following information:


  • A brief message explaining the objectives of the listening event, the event time frame, participant confidentiality, and the importance of everyone’s participation

  • A unique link or PIN code to access the listening event (if not using SSO)

  • A common link to the listening event from which participants enter their Single Sign On credentials (if using SSO) to access the listening event


If your company does not use SSO, the unique link in your invitation is specific to you and enables the platform to gather demographic information used for results analysis while keeping your responses completely confidential. This information is also used to manage customized reminders. To keep results accurate and to ensure you can complete the listening event, you should not forward your link to other participants.


If You Do Not Receive an Invitation Email

Sometimes, invitations are not sent to all employees. You might not receive an invitation email if:


  • You are a new employee

  • You are a temporary, seasonal, or contract employee

  • You have recently taken a leave of absence


If you haven’t received an invitation email to a listening event and you believe you should be eligible, please go to the Perceptyx Help Desk and click Need Extra Help? to submit a ticket to Customer Support.



If You Delete Your Invitation Email Before Completing the Listening Event

If you receive an invitation email but delete it before completing the listening event, please go to the Perceptyx Help Desk and click Need Extra Help? to submit a ticket to Customer Support.



If Clicking the Link Does Not Take You to the Listening Event

If nothing happens or you receive an error message when you click the link in your invitation email, you can try the following troubleshooting steps:


  • Copy the link directly from your invitation email and paste it into a different web browser.

  • Clear the cache and cookies on your web browser.

  • Contact your company’s IT department and ask if there are connectivity issues or if you don’t have proper permissions to access the listening event site.


If these steps don’t resolve your issue, please go to the Perceptyx Help Desk and click Need Extra Help? to submit a ticket to Customer SupportInclude a copy of the link you are using and a screenshot of the error you are receiving. 


Reminder Emails

While a listening event is open, invitees might receive reminder emails. Reminder emails may be set up to send to:


  • All invitees, regardless of their completion status 

  • Only the invitees who have not yet started the event

  • Only the invitees who have not yet completed the event 


The most common approach is to send reminders only to invitees who have not yet completed the event. Reminder emails include the link sent in the original invitation email.



If You Receive Reminder Emails After Completing a Listening Event

If you receive reminder emails after completing a listening event, it is possible that you completed the survey, but the results were not fully submitted (by clicking Submit on the final page). Please try accessing the event again using the link from your invitation/reminder email. You may be asked to re-enter some information you already entered (like a language selection). Once you are logged back into your listening event, you see the first page. All of your previous responses should be saved. Click Next until you arrive at the end and then click Submit.

Note: Please make sure you're using the link from the invitation email sent directly to you from Perceptyx. If your listening event uses unique links and the link you used was from an invite that was forwarded to you, it's possible you completed the event meant for your colleague. If this is the case, please reach out to Customer Support so we can clear the event and assign a new link. 



View Results Invitation Emails

Users with access to reporting for their teams or segments of the organizational hierarchy can view results via the Analyze platform page. Clicking Live Report or View Report for their listening event takes them directly to the Advanced Reporting dashboard. However, depending on a company’s platform and listening event configuration, reporting users may receive an email invitation to view results in the Advanced Reporting dashboard. The email includes a link that takes the user to the dashboard login page, where they can use their SSO login (if applicable) or their assigned username and password.



If You Do Not Receive a View Results Invitation Email

If your company uses emails to invite managers to view results and you have not received yours, it is possible that your team has not met the minimum response threshold required for viewing eligibility.


To protect respondent confidentiality, minimum thresholds are established at the user level, so results are viewable only if the minimum threshold requirements are met. Results based on fewer than the minimum number of responses are rolled up to the next level. For example, if the threshold is set to 5, at least 5 people on your team must submit responses for you to be eligible to view the team’s results. If your team does not meet the threshold, the responses from your team are rolled up and included in the results for your manager (or the next eligible manager who meets the threshold). You may want to contact your manager or HR to evaluate results.

If You Deleted Your View Results Invitation Email
