Participate in a Listening Event | Point-In-Time & Lifecycle

Modified on Fri, 11 Oct at 6:46 AM

Participating in a Point-In-Time or Lifecycle event is a simple and confidential process. With support for unique links, Single Sign On (SSO), and multiple devices, access is quick and easy. You can click response options to answer quantitative questions and type free form responses to answer open-ended questions. Navigation buttons enable you to move back and forth between event pages so you can easily review or modify responses. When you are ready, you can submit your responses with a single click.

This article walks through:

Confidentiality

When you participate in a Point-In-Time or Lifecycle listening event, your responses are confidential. No one within your organization has access to individual responses or information about who did/did not complete the event.

Minimum response thresholds ensure that data is viewable only if the threshold requirements are met. Results based on fewer than the minimum required number of responses are rolled up to the next level. For example, if the minimum threshold is set to 5, the results for a team of 4 are combined with the results for the team at the next level up in their organizational hierarchy. Likewise, if a team has more than 5 members but fewer than 5 complete the listening event, the results are rolled up to the next level.

Minimum response thresholds apply to open-ended questions too, although that threshold may be higher than the one set for other question types. As long as you don’t disclose any personal information in your comments or specific events/information that can be readily associated with you, there is no way for anyone to connect a particular comment to you.

Access the Event

You can access a Point-In-Time or Lifecycle event from any device, including a desktop computer, laptop, tablet, or mobile phone. Simply click the link in your invitation email or platform alert and follow the prompts to access the event.

Depending on your company’s platform configuration and how the event is created, you can receive an invitation in one or more of the following ways:

  • A dynamic alert on the platform Home page

  • A Respond notification in the platform navigation bar

  • An email

  1. Access your invitation.

From a dynamic alert:

  1. Log in to the Perceptyx Platform.

  2. In the Dynamic Alerts area, click the call to action (e.g., Begin Survey).

From a Respond notification:

  1. Log in to the Perceptyx Platform.

  2. If a red dot appears beside the Respond option in the navigation bar, click Respond to display all items awaiting your response.

  3. Click the call to action for the event (e.g., Begin Survey).

From an email:

  1. Open the invitation email.

  2. Click the link for the event.

  1. If prompted, use the provided credentials or PIN to authenticate and access the event.

  1. If applicable, select your preferred language, then click Proceed.

The first page of the event appears.

PIN Codes

Depending on your company’s preferences, some events may require a PIN code for access. PIN codes are provided via an invitation email.

If you receive a PIN code but it does not work, please go to the Perceptyx Help Desk and click Need Extra Help? to submit a ticket to Customer Support. Include the following details:

  • Your full name

  • Company name

  • Your email address

  • The PIN number you received

If you did not receive a PIN code but are prompted for one while completing an event, the following steps may resolve the issue:

  1. Close out of the event page completely, and try accessing the event again from the link in your invitation email. The event may have timed out. You might be prompted to re-enter some information (like a language selection, if applicable) before returning to where you left off.

  2. If step 1 does not work, try copying your original link from the email invitation and pasting the link into a different browser.

  3. If you continue to experience PIN code issues, please go to the Perceptyx Help Desk and click Need Extra Help? to submit a ticket to Customer Support.

Survey Already Completed Message

If you try to access the event and receive a Survey Already Completed message, the cause might be:

  • The event uses unique links for each participant and you forwarded your invitation email to a coworker, who completed the event before you tried to access it.

  • The event uses unique links for each participant and you tried to access the event from an email invitation forwarded to you by a coworker who has already completed the event. Try accessing the event using the link provided in your invitation email.

  • The close date for the event has passed.

If you need assistance, please go to the Perceptyx Help Desk and click Need Extra Help? to submit a ticket to Customer Support.

A listening event may include one or multiple question types, including the following:

  • Single Select (select one answer from multiple options)

  • Multiple Choice (select up to a specified number of answers from multiple options)

  • Ranking (rank answers by order of importance/preference)

  • Comment (open-ended question to which you type your response)

Following are some examples of different question types.

Required questions are clearly identified. Pages can also include page numbers or a progress bar. Navigation buttons allow you to move back and forth between pages and modify answers prior to submission. When you are ready to submit your responses, click Submit on the last event page.

  2. Click a response (or multiple responses, if applicable) for each question on the page.

Each response is saved as soon as you click it. You can change a response by clicking a different response option.

  1. Click Next.

The next page of questions appears, if applicable.

  2. Click to select response options or type responses on each page until you reach the final page.

Note: If you start answering questions and need to finish at a later time, you can simply close your browser window. Your responses will be saved. You can resume the event by clicking the link in your invitation email.

Submit Your Responses

After you have answered the event questions, you can go back to previous pages and review or modify your responses. When you are ready to submit your responses, click Submit on the last event page. If all required questions were answered and the submission was successful, a Thank You page appears.

  1. Review your question responses (you can click Previous and Next to navigate the event pages) and make changes, if necessary.

  2. On the final event page, click Submit.

The Thank You page appears.

Note: If the Thank You page does not appear, or if you aren’t sure your responses were successfully submitted, you can check by clicking the event link in your invitation email. If you believe you received the message in error, you can click the Customer Support email link or click Email Support to contact Customer Support.

If you would like to clear your submitted responses or re-open the event to edit your responses, please go to the Perceptyx Help Desk and click Need Extra Help? to submit a ticket to Customer Support. We would be happy to look into your options for you.
