Coming Soon: Create & Manage Reporting Groups for an Event - Overview | Point-In-Time & Lifecycle

Modified on Tue, 21 Jul at 11:41 AM

Reporting groups control what reports users can access, which demographics they can use to filter data, and which response data they can view. They are configured separately for each event and can be created before or after an event launches.

This article provides an overview of how reporting access works and the complete workflow for setting up reporting groups. For step-by-step instructions, see the articles listed at the end of the article.

Before You Begin

Before you start creating reporting groups for an event, take a moment to review these important points:

  • Reporting groups are event-specific: They apply only to the event in which they are created. Permissions and population access do not carry over between events.

  • Users can belong to multiple reporting groups: Users may belong to multiple reporting groups within the same event or across multiple events.

  • Thresholds still apply: Minimum response thresholds and event settings may prevent users from viewing some report data even when access has been assigned.

  • Access cannot exceed your own access: Event Creators and Event Administrators cannot assign population access beyond their own assigned visibility.

  • Users do not receive access until activated: Users added to a reporting group must be activated before they can access reports.

How Reporting Access Works

Three factors work together to determine what a reporting user can see and do.

  • Reporting permissions control which reports, dashboards, presentations, and reporting functions users can access.

  • Demographic permissions control which demographics users can use to filter report data. Demographic filtering does not expand a user's population access.

  • Population access controls which response data users can view within reports. Users can filter only within the response data included in their assigned population access.

Workflow Overview

Setting up reporting groups involves six steps. The first four happen inside the reporting group setup workflow; the last two happen after the group is created.

  1. Specify group information

  2. Set permissions

  3. Set demographics

  4. Review and confirm

  5. Add users and configure population access

  6. Activate users
